Cold Outreach That Actually Gets Replies: The Complete Playbook
Cold outreach has a terrible reputation — because most people do it wrong. These 8 techniques are what separates reps getting 2% reply rates from those getting 20%+.
The Pattern Interrupt Subject Line
Most subject lines are boring. Stand out by being unexpectedly specific or asking a provocative question. The goal is to break the scroll reflex and earn the open.
"Quick question about [Company]'s outbound" or "Noticed something on your LinkedIn"
The 3-Line Cold Email
Long emails get ignored. Keep it to 3 lines: one sentence of context, one sentence of value, one CTA. Brevity signals respect for their time.
"I help [role] at [company type] get [outcome]. [Company] is a perfect fit — worth a 15-min call this week?"
Personalisation at Scale
Generic emails fail. Use one hyper-specific detail per email (a recent post, a funding announcement, a mutual connection). It takes 60 seconds and doubles your reply rate.
"Saw your post about scaling the SDR team — we helped [similar company] cut their ramp time by 40%."
The Follow-Up Sequence
80% of replies come after the first email. Use a 5-touch sequence: Day 1 (cold email), Day 3 (quick follow-up), Day 7 (add value), Day 14 (breakup email), Day 21 (last try). Most reps stop after one.
Day 3: "Just bumping this to the top of your inbox — still think this is worth 15 mins."
The Mutual Value Offer
Lead with giving, not asking. Offer something useful before you pitch (a template, insight, or intro). It reframes you as a peer, not a vendor.
"I put together a cold call framework that works well for SaaS teams — happy to share it, no strings attached."
Social Proof Inject
Drop a result or name that validates you. One sentence is enough. Credibility borrowed from a recognisable name or a specific number beats any feature list.
"We helped the SDR team at [Known Company] increase their pipeline by 3x in 90 days."
The Breakup Email
Your last email in a sequence should create urgency and close the loop. It signals respect, reduces pressure, and — counterintuitively — often gets the highest reply rate of the whole sequence.
"I'll assume the timing isn't right — totally fine. If things change, I'm here. Closing your file for now."
The LinkedIn + Email Combo
Multichannel outreach increases reply rates by 30–50%. Connect on LinkedIn, then email. Reference the connection — it makes the email feel warm, not cold.
"I just connected with you on LinkedIn — I reach out there before emailing because it seems less out of the blue."
