Sales Follow-Up Email Templates: 10 That Actually Get Replies

Most deals don't die because the prospect said no. They die because the salesperson stopped following up. Research shows it takes 5–8 touches to close a deal — but most salespeople quit after 2. Here are 10 follow-up email templates for every stage of the sales cycle. Copy them, adapt them, send them.

01

The "Just Checking In" Killer

The lazy follow-up everyone sends. Here's the fix.

When to use:3–5 days after your initial email, no response.
Why it works:Leads with value, not neediness. Gives them a reason to reply beyond "are you ready to buy?"

Script

Subject: [First name] — quick question

Hey [First name],

Following up on my last email. Before I move on, I wanted to share one thing:

[Insert a single, specific insight relevant to their business — e.g. "I noticed [company] recently [X]. Most companies in that position are leaving about $Y on the table by not [doing Z]."]

Worth a 15-minute call to dig into it?

02

The "New Info" Follow-Up

Give them a reason to open that has nothing to do with you.

When to use:After a week of silence post-demo or initial conversation.
Why it works:Reframes the follow-up as a favour, not a nudge.

Script

Subject: Thought of you — [relevant topic]

Hey [First name],

Came across [article/stat/case study] and immediately thought of our conversation last week.

[One sentence summary of the insight + why it's relevant to them.]

Still think there's a fit here. Happy to pick up where we left off — even just 10 minutes.

03

The Breakup Email (That Gets Replies)

Tell them you're walking away. Watch them come back.

When to use:3–4 follow-ups in, still no response.
Why it works:Creates urgency through loss aversion. Most replies to breakup emails happen within 24 hours.

Script

Subject: Closing your file

Hey [First name],

I've reached out a few times without hearing back, so I'll assume the timing isn't right.

I'm going to close out your file — but if anything changes, you know where to find me.

Either way, best of luck with [their company / initiative].

04

The Post-Demo Follow-Up

Strike while the iron is hot.

When to use:Within 2 hours of a discovery call or demo.
Why it works:Speed signals seriousness. Most salespeople wait a day — you don't.

Script

Subject: Next steps — [Company name]

Hey [First name],

Really enjoyed our conversation today. Based on what you shared about [specific pain point they mentioned], I think [your product] could [specific outcome].

I've attached [relevant resource / proposal outline / case study].

Next step: [Clear, single ask — e.g. "Can we get 30 minutes on the calendar this week to walk through pricing?"]

[Your name]
05

The "Stakeholder Loop-In" Email

When you can't get through, go around.

When to use:Your main contact has gone dark and you suspect internal blockers.
Why it works:Politely signals you'll find another way in if they don't respond.

Script

Subject: Who else should I be talking to?

Hey [First name],

I don't want to keep chasing you if this isn't the right fit or the right time. Totally understand if priorities have shifted.

If there's someone else at [Company] I should connect with, I'm happy to reach out directly and not take up any more of your time.

Otherwise, let me know if it makes sense to reconnect.

06

The Value-Add Follow-Up

Give before you ask.

When to use:Any point in the follow-up sequence when you need to warm a cold lead.
Why it works:Reciprocity. Giving something useful creates an obligation to respond.

Script

Subject: Free resource for [Company]

Hey [First name],

No agenda here — just wanted to share [specific resource, template, framework, or insight] that I think would be genuinely useful for [specific challenge they mentioned].

[One-liner on what it is and why it's relevant.]

Attached/linked below. No strings attached.

[Your name]

P.S. Still happy to pick up our conversation if the timing is better.
07

The "Trigger Event" Follow-Up

Use their news as your in.

When to use:When you spot a news event, job change, funding round, or company announcement.
Why it works:Proves you're paying attention and makes the outreach feel timely, not random.

Script

Subject: Congrats on [event]

Hey [First name],

Saw the news about [specific event — funding, new hire, expansion, product launch, etc.]. Congrats — that's a significant milestone.

Given what you're building toward, I think now might actually be the right time to revisit [your product/solution]. Companies at this stage typically [specific outcome you can deliver].

Worth a quick call this week?

08

The End-of-Quarter Push

Use the calendar to create urgency.

When to use:Last 2 weeks of any quarter when deals need to close.
Why it works:End-of-quarter pressure is real on both sides. Naming it creates shared urgency.

Script

Subject: End of quarter — worth a quick call?

Hey [First name],

Q[X] wraps up in [X days]. I know you've got targets, and so do I.

I can still make [specific offer/pricing/timeline] work if we move this week. After [date], I can't guarantee the same terms.

15 minutes — worth it?

09

The Re-Engagement Email

For leads that went cold months ago.

When to use:3–6 months after a deal stalled or went quiet.
Why it works:Circumstances change. Timing is often the real objection, not fit. Coming back later — with new context — feels fresh, not desperate.

Script

Subject: Checking back in — [Company]

Hey [First name],

We spoke back in [month] about [topic]. Things didn't move forward at the time, and I completely respect that.

A lot has changed since then — [one sentence on what's new with your product, offer, or their industry]. I thought it was worth reaching back out.

Is this still something on your radar?

10

The Referral Ask

If they won't buy, get a name.

When to use:After a deal closes lost, or after a long silence.
Why it works:Turns a dead end into a pipeline asset. Even a no can send you a yes.

Script

Subject: One last ask

Hey [First name],

Totally understand this isn't the right fit right now. No hard feelings at all.

One quick ask: is there anyone in your network who might be dealing with [core pain point]? Even a name or a warm intro would mean a lot.

Either way — hope things go well with [their company / initiative].
